Every week, there’s a new tool, a new update or a headline telling us that AI is changing the way we work. Questions that are becoming increasingly common include:
“Where do I start?”, “Which tool should I use?” and “Will AI replace what I do?”
The good news is that you don’t need to be an AI expert to benefit from it. In fact, the most successful small businesses aren’t using AI to replace people they’re using it to remove repetitive tasks, spark new ideas, create efficiencies and refine communications to enable them to spend more time doing what they do best. Whether you’re a consultant, retailer, hospitality business, personal trainer or creative business owner, AI can become another valuable member of your team.
Think of AI as an assistant, not your replacement
One of the biggest misconceptions about AI is that it’s designed to replace jobs, in reality, for most small businesses, it is far more valuable as an assistant. Imagine having someone available whenever you need them to:

The secret is asking detailed questions, the more context you provide about your business, your audience and your goals, the more useful the responses become.
Canva Magic Studio
If you’re already using Canva, you’ll probably find its AI features incredibly helpful. From generating presentations and social media graphics to resizing designs and removing backgrounds, Canva can dramatically speed up your content creation process.
Grammarly
We’ve all written an email only to notice a typo after pressing send. Grammarly helps improve spelling, grammar and tone, ensuring your communications remain professional while still sounding like you.
Google Gemini

The biggest mistakes I see small business owners making
After speaking with many business owners, there are a few common pitfalls.
Publishing without checking: AI occasionally gets things wrong. Always fact-check statistics, names, dates and recommendations before publishing. You can also ask AI to provide the links or sources to claims made.
Losing your personality: One of the biggest strengths of a small business is that customers buy from people. If every post sounds generic, you lose what makes your business unique, don’t forget to also include your own stories, experiences and opinions.
Using AI for strategy: AI can be great at helping you to generate ideas. It cannot understand your business objectives, customer relationships or commercial priorities in the way that you can. Use AI to support strategic thinking, not replace it.
Trying every new tool: There’s always another AI platform being launched, resist the temptation to sign up for everything. Choose one or two tools, master them, build them into your business processes and only expand when you genuinely need to.
